Volunteer Leader Opportunities are now open for the 2020 SHRM Annual Conference in San Diego taking place June 28-July 1, 2020 at the San Diego Convention Center! More information about the regular volunteer opportunities will be available later this year. Co-Chairs

Days: Entire Planning Cycle 

The Co-Chairs are responsible for leading the volunteer recruitment and assignment effort
in support of the SHRM Annual Conference and Exposition. The Co-Chairs serve as the
face of SHRM in this effort, convening meetings, generating enthusiasm and excitement,
communicating with all parties on a regular (sometimes daily) basis. The primary job of the
co-chairs is to manage the database and selection and recruitment process.
The Co-Chairs must be onsite throughout the conference, have employer support to
participate in meetings and calls throughout the year and be able to work across the
different chapters to ensure all needs are met.

Co-Chairs are responsible for the selection of the leads and co-leads of the areas listed
below.

Ambassadors

Days: Saturday - Wednesday 

Requires 2 Co-Leads 

Co-Leads

  • Direct and instruct volunteers and be SHRM liaison. 

  • Recommended Leads work every day of conference. 

  • Should motivate volunteers, be well organized, calm and outgoing personality

  • Should be able to handle stressful situations and coach others. 

Volunteers

  • Provide directions, information and assistance to attendees throughout the convention center and hotels

  • The most effective ambassadors are outgoing, friendly and helpful and
    possess the ability to deal with stressful situations with calm diplomacy. 

  • Are trained and deployed onsite and should arrive at the center well in
    advance of shift start time in order to check-in, receive training and reach
    posted station


Mobility is required in this position. Volunteers are required during the entire event.
Volunteers must be able to stand and walk for extended periods of time.

Bag and Badge Pick Up

Days: Saturday - Monday 

Requires 2 Co- Leads

Co-Leads

  • Direct and instruct volunteers and be SHRM liaison.

  • Leads must be able to attend training sessions and work entire conference

Volunteers

  • Staffs the Bag and Badge Pick-Up desk, line management and other areas as necessary.

  • Provides attendees with registration collateral.

  • Serve as additional information resource for attendees by answering
    questions regarding general information.

  • Serve as a Lost & Found booth

  • Assist with registering attendees as necessary.


Notes: Does not process payments. Volunteers must be able to stand and walk for
extended periods of time.

Meet to Eat

Days: Saturday - Tuesday

Requires 1 Lead or 2 Co-Leads

Co- Leads

  • Direct and instruct volunteers and be SHRM liaison.

Volunteers

  • Assist attendees in selecting a restaurant from our pre-determined list

  • Monitor the number of reservations and adjusting them with the restaurants as necessary each day.


Notes: Meet to Eat is dining and networking program primarily for attendees traveling alone
to meet fellow practitioners. Volunteers on duty throughout the conference and supported
by a contracted restaurant reservations service


Packet Stuffing

Days: Thursday - Friday 

Requires 1 Lead or 2 Co-Leads

Co-Leads

  • Direct and instruct volunteers and be SHRM liaison.

  • Must be available on Thursday and Friday all hours and recommended to be
    outgoing and engaging.

Volunteers

  • Table Leaders: organize teams of Bag Finishers, Bag Counters, and Bag Stuffers

  • Bag Stuffers: insert the printed material into the bags

  • Bag Finishers': ensure that conference bags are filled in a proscribed manner

  • Bag Counters: maintain an accurate count of conference bags and the
    proper placement (stacking) in bag receptacles.


Notes: Popular assignment as shifts are completed prior to the conference starts.
Volunteers must be able to stand and walk for extended periods of time.

Session Hosts

Days: Friday - Wednesday 

Requires 2 Co-Leads

Co-Leads

  • Direct and instruct volunteers and be SHRM liaison.

  • Leads may divide work into shifts but leads must be there at alltimes to
    manage volunteers as well as the session host office.

Volunteers

  • lntroduce speakers and manage the execution of the pre-conference
    workshops and concurrent sessions which will include Mega Sessions and Change-Makers Series in conjunction with SHRM Staff

  • Maintain headcounts

  • Distribute and collect evaluations

  • Serve as runners, hall monitors and couriers of materials


Notes: Desired skills are strong public speaking and crowd management.

SHRMStore

Days: Thursday - Wednesday 

Requires 2 Co-Leads

Co-Leads

  • Direct and instruct volunteers and be SHRM liaison.

  • Recommended to be available for the entire duration of the event.

  • Lead should be organized, outgoing and have excellent service skills. Should also love books and retail.

Volunteer

  • Assist with set-up and breakdown of the store.

  • Assist store operations by assisting attendees with information and product location, speaker book signings, and stocking inventory.

  • Assist with packing up the store at the conclusion of the conference.


Notes: The greatest need for volunteers is during both set up and tear down. Volunteers
must be able to stand and walk for extended periods of time. Also, volunteers must be able
to lift heavy boxes.

Special Projects

Days: Saturday - Wednesday 

Requires 1 Lead or 2 Co-Leads

Co-Leads

  • Direct and instruct volunteers and be SHRM liaison.

Volunteer

  • Assist with last-minute assignments

  •  Should be flexible


Notes: This area is for any unanticipated or one-time efforts that require onsite volunteer supports

Tuesday Night Entertainment

  Days: Tuesday  

Requires 2 Co-Leads

Co-Leads

  • Direct and instruct volunteers and be SHRM liaison.

Volunteer

  • Serve as ambassadors at the Tuesday night entertainment

  •  Must be able to stand and walk for extended periods of time, maintain an upbeat, energized and fun attitude 

  • Ensure a safe environment with direction from SHRM staff


Notes: Training and information is provided the afternoon of the event and volunteers are
able to enjoy 
the show.

Airport Registration

Days: Saturday and Sunday 

Requires 2 Co-Leads

Co-Leads

  • Direct and instruct volunteers and be SHRM liaison.

Volunteer

  • Volunteers work alongside SHRM staff in greeting members arriving at the airport and directing them to our registration counters

  • Volunteers will also assist in printing badges and distributing information.,
    stuffing badges and other duties as assigned.

  • Must be able to stand and walk for extended periods of time, maintain an upbeat, energized and fun attitude

  • Ensure a safe environment with direction from SHRM staff


Notes: Outgoing personalities are best suited to this assignment. Volunteers must be able
to stand and walk for extended periods of time.

Volunteer Lounge

Days Thursday - Wednesday

Requires 2 Co-Leads 

Co-Leads

  • Direct and instruct volunteers and be SHRM liaison.

Volunteer

  • Assist with Volunteer Registration/Bag & Badge Pick-up

  • Assist Volunteers Sign-in and Sign-outs for shifts and Sign-in and out for free days

  • Assist with Managing Shift inventory

  • Assist with organizing/cleaning the lounge

  • Assist with creating reports for SHRM and the Team Leaders/Co-Chairs

  • Assist Volunteers with scheduling changes/cancellations and more.


Basic computer skills are preferred. Due to the number of tasks to learn on-the-job, an ability 
to learn quickly and good communication skills are a must. On-the-job
training will be provided on all of our electronic and manual systems
